Refund & Cancellation Policy

1. Overview
This Refund & Cancellation Policy explains how billing, cancellation and refunds work for CitePulse, operated by GeoAI Solutions LLC (trading as GeoFlow) ("CitePulse", "we", "us"). It forms part of, and should be read together with, our Terms of Service. Nothing in this policy limits any mandatory statutory rights you may have as a consumer.
2. Our products
- Free mini-audit — provided at no charge; nothing to cancel or refund.
- Monitoring subscriptions (e.g. Shield, Protect, Scale) — recurring plans billed monthly in advance, in USD or EUR.
- One-time full audit — a single, paid, made-to-order audit delivered as a report.
- Agency / white-label and API access — billed as part of an applicable subscription plan.
3. Billing through Stripe
All payments are processed securely by our payment processor, Stripe. We do not store full card details. Subscriptions renew automatically on each billing date until cancelled. Prices are exclusive of applicable taxes/VAT, which may be added at checkout.
4. Cancelling a subscription
You can cancel a monitoring subscription at any time, with effect at the end of the current billing period, by using the cancellation option in your account or billing portal, or by emailing [email protected]. After cancellation:
- You retain access to the paid features until the end of the period already paid for.
- You will not be charged for subsequent periods.
- Except where required by law, partial periods are not pro-rated or refunded.
5. Refunds for subscriptions
Subscription fees are generally non-refundable once a billing period has begun, because access to the service is provided continuously throughout the period. If you believe you were charged in error (for example a duplicate charge or a billing mistake), contact us within 14 days and we will investigate and, where appropriate, issue a correction or refund. We may, at our discretion, offer goodwill credits or refunds; doing so does not waive this policy.
6. Refunds for the one-time full audit
The one-time full audit is a made-to-order digital service that we begin performing as soon as your order is placed, using paid third-party AI model queries. As a result:
- Before work begins: if you contact us before the audit has started running, we can usually cancel and refund in full.
- Once delivered: because the audit is bespoke and already performed, the delivered report is non-refundable, save for mandatory legal rights or a demonstrable failure on our part to deliver the purchased service.
- Service failure: if we are unable to deliver the audit you paid for, we will re-run it or refund the amount paid for that audit.
The audit measures and reports observed AI behaviour at the time of testing; a result you find unfavourable (for example, a low score or few citations) is a valid outcome of the service and is not, by itself, a basis for a refund. See our Product Disclaimer.
7. EU/EEA consumers — right of withdrawal
If you are a consumer in the EU/EEA, you normally have a 14-day right to withdraw from a distance contract. For digital services and digital content supplied without a tangible medium, this right can be lost once performance has begun with your prior express consent and your acknowledgement that you thereby lose the right of withdrawal. At checkout for the one-time full audit you may be asked to consent to immediate performance and to acknowledge the loss of the withdrawal right once the audit has been delivered. For subscriptions, where the withdrawal right applies and you withdraw after performance has begun at your request, we may charge for the service proportionately provided up to that point. These consumer rights apply only to consumers; CitePulse is primarily a business-to-business service (see the Terms of Service).
8. Chargebacks
If you have a billing concern, please contact us first so we can resolve it quickly. Initiating a chargeback without contacting us may result in suspension of the service pending resolution.
